1. Definitions and Interpretations
1.1 Definitions
- "Awards" – the competition known as the Event Technology Awards: AI Edition, where AI and technology solutions within the events sector are judged by an independent panel, and awards are given in relation to the Categories.
- "Category" – each category listed and detailed on the Website.
- "Closing Date" – 31st March (or as otherwise conveyed on the Website).
- "Entrant" – an individual, team, or organisation submitting an Entry for the Awards.
- "Entry" – all material, information, and supporting content submitted for the Awards by the Entrant.
- "Multiple Entries" – more than one Entry submitted by the same brand.
- "Fee" – the relevant fee payable by the Entrant for each Category, as stated on the Website. Fees must be paid in full by the deadlines shown on the Website, entry forms, invoices, and booking forms.
- "Organisers" – the team responsible for organising and delivering the Awards.
- "Rules" – these Terms & Conditions and any special terms or written agreements between the Entrant and the Organisers.
- "Website" – the Awards website, accessible at https://eventtechnologyawards.co.uk/aiedition
- "Winners" – the winner for each Category.
1.2. The Organisers reserve the right to cancel or amend all or any part of the Awards and/or Rules. Any changes will be posted on the Website. Entrants are responsible for keeping themselves informed.
1.3. By submitting an Entry, the Entrant agrees to comply with the Rules.
1.4. In the event of a dispute regarding the Rules, conduct, or results of the Awards, the Organisers’ decision is final and unchallengeable.
2. Awards Entrant
2.1. The Awards are open globally to all Entrants, regardless of organisational type.
2.2. By entering, the Entrant warrants that all submitted information is accurate, truthful, and complete. The Organisers reserve the right to verify any information supplied in the Entry.
2.3. The Organisers may disqualify an Entrant if they believe the Entrant has breached the Rules, breached applicable laws (including copyright or IP laws), or infringed third-party rights.
2.4. If a Winner is disqualified, the Organisers may select an alternative Winner using the original judging process.
3. The Awards
3.1. All Entries must be submitted via the official online entry form. Hardcopy Entries will not be accepted.
3.2. Unless otherwise stated, Entries should relate to work, products, or projects completed or active between 1st June 2024 and 31st March 2026. Earlier products are eligible, provided they show relevant updates or continued applicability.
3.3. An Entry may be submitted to multiple Categories.
3.4. Entrants may submit multiple Entries within the same Category only if each Entry refers to a different product, service, or project.
3.5. Multiple Entries from a single organisation or brand are permitted.
3.6. Entrants must supply accurate and current contact details. Any changes must be sent directly to the Organisers.
3.7. Entrants are advised to save a local copy of their Entry in case of technical issues.
3.8. The Organisers will confirm receipt of an Entry by email. If no confirmation is received within three days, it is the Entrant’s responsibility to contact the Organisers. Without confirmation, the arrival of the Entry cannot be guaranteed.
3.9. Only fully completed Entries will be accepted. Word limits apply strictly; judges will only receive the approved number of words.
3.10. Once submitted, Entries cannot be amended. Any concerns must be raised with the Organisers directly.
3.11. Any attempt to influence judges outside the official Entry process will result in disqualification.
3.12. All Entries must be submitted in English and accompanied by full payment of the Fee.
3.13. Entries and Fees must be received before the Closing Date: 31st March. No Entry will proceed to judging unless payment has been received in full.
3.14. The shortlist will be announced on 15th April via the Website.
3.15. Final judging will begin on 15th April and conclude on 15th May, unless the Organisers determine otherwise.
3.16. Winners will be announced in June (date TBC).
3.17. People’s Choice Award voting — if applicable — will run according to dates published on the Website.
3.18. All materials submitted will remain confidential to the judges, except for sections explicitly marked as publishable (e.g., People’s Choice summaries).
3.19. The Organisers accept no responsibility for claims relating to rights infringement associated with Entries.
4. Governing Law and Jurisdiction
4.1. The Rules and any dispute arising in connection with them shall be governed by English Law.
4.2. The Courts of England have exclusive jurisdiction over disputes arising in connection with the Rules.
